Event Policies

A 20% deposit is required at the time of booking. The remaining balance must be paid at least 10 business days before your event date, and host bar charges are due one week after receiving your invoice. Please refer to the payment schedule outlined in your contract.

Cancellation damages will be calculated as a percentage, based on the date of cancellation listed below, with the anticipated gross revenue from contracted catering.

The minimum food and beverage spend does not include room rental fees nor taxes and gratuity. Should you not reach your minimum spend requirements, the difference will be charged. Your minimum spend will be determined by the venue, day of the week and length of time you wish to book the space for. A room rental is always required beside the minimum spend.

Hollyburn Country Club is the sole provider of food and beverages, including weddings and birthday cakes.

Unconsumed food is the property of Hollyburn and may not be removed from the premises due to health regulations.

Your cut off date for final numbers is 10 business days before your event happens, if the count is not provided within the time period, your original count will become the guarantee for minimum billing purposes.

If any of your guests have allergies or dietary restrictions, please provide their names and details at least 10 business days before the date of your event. Our kitchen operation may involve shared cooking and preparation areas. We will do our best to meet any dietary or allergy concerns, but cannot guarantee any item can be completely free of allergens.

The final setup details must be provided at least 10 business days before the event. Please note that no changes can be made to the setup on the day of the event. Your floor plan will be shared with you in advance for final approval. All décor and vendor services brought into the property must receive prior approval from the event manager. Outside vendors are required to provide proof of insurance for general liability.
The group agrees to provide the minimum number of people as stated herein. If the group falls below this amount, Hollyburn Country Club reserves the right to re-assign the event space and/or to modify the set-up of the room or to renegotiate the room rental agreement.

A bartender will be provided free of charge, provided consumption is over $500 per bar. If the minimum is not achieved, a bartender charge of $30 per hour (minimum 4 hours) per bartender will be levied. Alcohol brands are subject to change. If you choose wine from our list, please submit your selection at least three weeks before the event. Otherwise, availability cannot be guaranteed.

Club policy requires that there be neither advertising nor publicity of the Club premises through any public media. The Club’s name or logo (in any form) may not be used without prior written approval. Failure to observe this policy may result in cancellation of the booking.

The client is responsible for any damages to Hollyburn's property by their guests or independent contractors. This includes damage to wall coverings or doorways from the use of tape, tacks, or other attachments. The use of confetti and sparkles is strictly prohibited. A $500 cleaning fee will apply for any ‘glitter bombs or use of confetti anywhere on Hollyburn grounds.
The Club prohibits the use of push pins, nails or scotch tape when hanging banners or posters from the walls or ceiling. Liability for damages to the premises will be charged according to the replacement value of the property damaged. If you require Club staff to assist with decorating, labour fees may apply.

The organizer is responsible for ensuring that all attendees have a valid guest pass to access the Club. (The guest pass will be sent to you 10 business days before your event date.) A finalized guest list must be submitted to your Event Manager no later than your cutoff date. It is the organizer’s responsibility to provide any updates to the guest list within this deadline. Failure to do so may result in denied entry for unregistered guests.
The event organizer shall take all necessary measures to ensure the safety and security of all attendees, participants, and property during the event. The organizer shall be responsible for securing the venue, hiring qualified security personnel, and implementing appropriate security protocols.

Hollyburn Country Club cannot be responsible for personal property brought into the Club. Subject to prior arrangement & the space available, the Club will accept delivery of materials for use during your function. The Club cannot be responsible for items lost, stolen or not delivered intact, either before, during, or after a function.

Children are permitted in the event space; however, they must be accompanied and supervised by an adult at all times. Children must remain within the event space and are not permitted in other areas of the Club. They should be engaged in appropriate activities and maintain respectful behavior during speeches or formal portions of the event. The host is responsible for the safety and conduct of all children attending the event.

SOCAN, the Society of Composers, Authors, and Music Publishers of Canada, requires that the users of music obtain SOCAN license to perform, or authorize others to perform, copyrighted music in public. The required license fee for an event with music will be charged based on the guidelines set out by SOCAN and the Copyright Act of Canada. Booking Policies

F&B Event Rentals
These involve the use of one of the Club’s private rooms (e.g., Hi-View Room, Creekside Room) for a social gathering with or without a food & beverage component
Typically used for meetings, celebrations, lectures, corporate functions, private dining or team building conferences.
Athletic Facility Rentals
These include the booking of sports and recreation spaces such as:Small ice/Large Ice
Badminton Gym
Outdoor Pickleball Courts
Golf Simulators

Children aged 15 and under must be supervised 1:1 by a Responsible Person aged 16 or older at all times, including during rentals.
Ratios must not exceed 1 child per supervising adult; fewer children per adult is acceptable.
Youth-focused or children’s parties are not permitted. Family-friendly gatherings are welcome, provided supervision and Club standards are upheld.
Members are fully responsible for the conduct, supervision, and rule adherence of their guests.
Members and their guests are expected to adhere to the Club’s bylaws and house rules at all times, including while attending or hosting events on Club property.

An Event is defined as any pre-booked gathering that involves:
Rental of designated Club space (event room or athletic facility)
Participation by guests who may or may not be Club Members
Any activity that requires staff coordination, guest services, or operational support
All events must be pre-approved and scheduled through the Club’s event booking process.

Guests may only access the space(s) rented for the duration of the booking.
No access is permitted to common areas, hallways, lounges, or unbooked athletic spaces.
Wandering or unauthorized use of Club amenities is strictly prohibited.
A guest list must be submitted at least 10 business days prior to the event.
Complimentary parking is available for guests, subject to availability. Member parking is prioritized, and guests may be required to use alternative parking if spaces are occupied.
Event passes will be generated by staff and logged for attendance and tracking purposes.

If both an event space and an athletic facility are booked, guests must remain in one designated area at a time. Movement between spaces is only permitted when:
Spaces are booked back-to-back and the arrangement is pre-approved by Club staff

All bookings are subject to review and approval by Club staff. The Club reserves the right to approve, deny, or modify any booking based on:
Space availability
Programming conflicts
Alignment with Club standards and values
As per House Rule 2.8 the Club will deny any event to promote any religious, sectarian or political objectives
